Acumatica for Construction Projects: Tasks, Budgets & Compliance

Acumatica Construction Edition is all we can talk about lately. So far in this blog series, we’ve looked at the interface and the construction dashboards that users can build to access all the necessary info in a single space, and we’ve drilled into Acumatica Construction Projects a bit to see how a construction project looks within the system.

We’ll continue along those lines today with taking a quick look at project tasks, how to track the budget and cost budget  of a project, and how Acumatica helps companies ensure compliance with ease.

📝 Tasks Tab

• View all tasks for a project in one place.

• Set tasks at the project level or add common tasks already set up in the system.

🧩 Task Details

• Assign each task as Cost and Revenue, or one type only.

• Set a billing rule (defaults from Summary Tab but can be overwritten at the task level).

• Update status as needed:

  • Planning — prevents transactions until ready.

  • Completed — marks work as finished and moves to the next phase.

💰 Revenue Budget

• Assign a budgeted amount to each task.

• Use Load Records from File to import estimates or quotes from Excel.

• Track both original and revised budgets as change orders are approved.

• See actual billed amounts, retainage totals, and pending invoices.

🏗️ Cost Budget

• Track budgets by task and cost code.

• Use account groups to control allowable GL accounts for transactions.

• Monitor original amounts, potential change orders, and revised totals.

📊 Balances Tab

• View project income and expense grouped by account group.

• Quickly gauge financial health at a glance.

📑 Commitments Tab

• Track all purchase orders and subcontracts linked to the project.

• See current statuses for each commitment.

🧾 Invoices Tab

• View pro forma invoices and related accounts receivable invoices.

• Manage and release retainage as needed.

🔄 Change Orders

• Track both change orders and change requests in one place.

• Drill into each document for complete details.

📬 Activities Tab

• View all project-related activities including time logs, emails, and AR invoices.

• Create custom activity types such as site visits for company-specific needs.

🛡️ Compliance Tab

• Track vendor compliance requirements with ease.

• Attach and view compliance documents directly in Acumatica.

• Set alerts for expiring certificates to ensure timely updates.
