How does Acumatica handle multiple company and/or multiple locations?

Acumatica’s organizational structure capabilities will set it apart. From within a single “tenant” or instance, we can setup multiple companies and branch locations under those companies. Users can be a member of one or multiple branches. A shared account structure is required, but accounts can differ by branch or location.

Each branch may have their own vendors, customers and items, but can also share vendors, customers and items where required. Our unlimited user licensing will allow even occasional users to view information without requiring additional costs.

What deployment options does Acumatica have?

Acumatica offers Software as a Service (SaaS) using Amazon Web Services. We offer a private cloud deployment option where the customer can deploy on a hosted cloud provider such as Azure or their own AWS instance, or they can deploy on their own servers. We also offer a perpetual license that can be deployed in-house on a server. The product is the same, regardless of how it is deployed.

Does Acumatica have an incident response policy?

A comprehensive incident handling process is in place to respond to security breaches, fraud, faults and other disruptions to business processes, contractual agreements or privacy.

How long does Acumatica take to implement?

This is a difficult questions because all companies are different. However, on average Milestone IS implementations take 3-6 months.

What platforms and languages does Acumatica utilize?

Acumatica is built from the ground up using .NET Framework, C# and ASP.NET. Acumatica’s xRP Platform is a critical factor in its capabilities for integration and development.

What languages does Acumatica Support?

Acumatica supports all languages.

Does Acumatica have a disaster recovery plan?

Acumatica backs up all transactional data to an additional geographic zone for an additional layer of protection and disaster recovery. In the event of a disaster where a data center hosting your service is completely shut down, Acumatica will quickly go through a fail-over recovery procedure and your service will resume from an alternate data center. Acumatica’s SLA uptime guarantee will continue to provide you protection during this duration.

What are Milestone IS implementation services?

Implementation services include workflow design, software installation (where required), software setup, data import/conversion, support in reconciling with previous systems (where required), report configuration and design, form design (checks/invoices/statements/etc.).

Software integration, business intelligence design and customization, dashboard & flash report customization, screen configuration/customization (where required), security setup, training, “Go Live” assistance.

Does Acumatica utilize load balancing and redundancy?

Acumatica supports load balancing and multiple server configurations. Load balancing is useful when you want to spread your system load across multiple servers. This way, you benefit from the performance of two servers instead of one, and you also ensure high availability, which means that if one server were to go down, the other server will take over and the system remains up.

Acumatica Questions – Security

How does Acumatica handle the security and configuration of security roles?

Acumatica offers extensive security role setup. Users can be limited to modules, screens, and functions that they see, and we can utilize role-based security to restrict what is seen on a given screen. Acumatica also offers row-level security, where we can restrict access to accounts, sub-accounts, vendors, customers, and items.

What is Acumatica's fraud management capabilities?

Using role-based security and approvals, we can provide segregation of duties. Acumatica also has extensive audit capabilities. The audit trail is automatically provided for each transaction, i.e., who created the transaction (with the date and time stamp) along with the user that last modified it (with the date and time stamp). We can also set up in-depth audit reports on any function in the system. Also, we have monitoring capabilities and triggers when certain conditions are met.

Is customer data encrypted in Acumatica?

Acumatica ERP uses digital certificates to store sensitive information in the database encrypted and to authenticate documents (PDF files) that are shared or sent electronically. Each certificate has a password that is used to validate the owner of the certificate if you need to reinstall the system or move the database. Acumatica ERP database stores sensitive data, such as credit card numbers, encrypted. Acumatica will always provide an Acumatica URL that is protected by SSL standards. However, Acumatica also recommends that you use your own certificate if you would like to have your own custom URL.

How is access to data governed in Acumatica?

With Acumatica, each user can be assigned unique security credentials. These credentials can be role-based or highly specific to individual users. Acumatica’s intrusion detection system (IDS) detects any attempt to compromise the confidentiality, integrity or availability of your data, or to circumvent security controls. In the event of such an attempt, the intruder is locked out of the system, and investigation is conducted to identify and apprehend the intruder. Acumatica can also restrict user logins to specific IP addresses. Active Directory security can also be integrated.

Does Acumatica store my data in the same place as other clients?

Unlike a lot of web-based applications, with Acumatica every subscriber’s data is stored in a completely separate database. This allows every Acumatica subscription to have better data security and be on their own versions of Acumatica. At the same time, they can take advantage of Acumatica’s multi-tenant architecture to add additional completely separate entities within that same subscription.

Does Acumatica employ an intrusion detection system?

Acumatica’s intrusion detection system (IDS) detects any attempt to compromise the confidentiality, integrity or availability of your data, or to circumvent security controls. How do you handle the relationship between General Ledger and subledgers?

General Ledger is integrated with Accounts Payable, Accounts Receivable, Cash Management, Inventory, and Fixed Asset subledgers. Accounts can be restricted to only post from those subledgers. Get more Acumatica FInancial Management information.

How does Acumatica handle fixed asset management?

Acumatica maintains complete visibility of fixed assets and depreciation calculations. Add fixed assets directly from AP purchases, import from a file, or add individually. Select from a large inventory of pre-defined depreciation schedules or create custom schedules for accurate accounting and reporting. Depreciation, Disposals and Asset Sales are all automatically posted to the General Ledger. Maintain separate Tax Books that do not update to the General Ledger.

Does Acumatica have SOC1 and SOC2 reports and description?

How does Acumatica handle Tax reporting?

How does Acumatica support a multi-segment chart of Accounts?

Acumatica has a Chart of Accounts consisting of the GL Account and then sub-accounts, which are identified in an alpha, alpha-numeric or numeric structure. You can have as many sub-account keys as you wish, and you can determine their length.

What are Acumatica's integration capabilites?

Acumatica utilizes REST (representational state transfer) as the preferred API method. Building off of the contract-based API, REST allows you to create, read, update, and delete Acumatica data. The new REST API builds on top of the contract-based API, and allows you to access the endpoints and entities configured in Acumatica in a RESTful manner. Through the REST API, you can create, read, update and delete Acumatica data, as well as invoke actions and other business logic available in the entities that you expose in your endpoint. Where SOAP methods can be bulky and time-consuming, relying on XML, REST models your API’s off HTML resources and actions, much in the same way a web browser interacts with the web. The data in REST calls is typically formatted in JSON, which is very lightweight and easy to generate and parse from JavaScript and other newer languages and frameworks. Acumatica also provides native import/export tools and all reports, inquiries and grids are available to export to Excel. Many grids can also utilize a direct Excel upload.

How does Acumatica manage 3rd party transactions?

Acumatica integrates with Avid EXchange as well as many credit card processing systems. Acumatica also integrates with other b2b payment gateways via a “Pay To” vendor functionality within Accounts Payable.

How does Acumatica integrate with separate billing software or payment processing software?
